1. Who We Are

The Açai Club is a food & beverage business operating stores in Reading, Beaconsfield & Datchet, UK. Our registered address is 10a High Street, Datchet, United Kingdom SL3 9EA.

Our online ordering system is operated by EPoS Technologies Limited, whose registered office is 11 Wharf Road, Enfield, EN3 4TA, Middlesex, United Kingdom.

2. Your Rights

As a data subject under the UK GDPR, you have the right to:

• Be informed about how we collect & use your personal data
• Access the personal data we hold about you
• Rectification of inaccurate or incomplete data
• Erasure ("right to be forgotten")
• Restrict or object to processing of your data
• Data portability

If you have a complaint about how we handle your data, you may contact the Information Commissioner's Office (ICO) at ico.org.uk.

3. What Data We Collect

Depending on how you use our site & services, we may collect:

• Name, email address & telephone number
• Delivery or billing address (when placing orders)
• Order history & preferences
• IP address, browser type & operating system
• Usage data (pages visited, time on site)
• Gift card & wallet balances, top-ups and the orders they were spent on
• A device token, if you allow push notifications in the app
• Approximate location, if you allow it, to show your nearest store

Location is used only while you are using the app to show nearby stores, and we do not keep a history of where you have been.

Payment information is processed securely by Stripe & is never stored on our systems.

We use your data to:

• Process & fulfil your orders
• Manage your loyalty rewards account
• Issue & redeem gift cards, and hold your wallet balance
• Send push notifications about your order, if you have allowed them
• Send order confirmations & service updates
• Respond to enquiries
• Improve our website & services
• Send marketing communications (only with your consent)

5. Cookies

Our website uses cookies to improve your browsing experience. Strictly necessary cookies ensure the site works as intended. We also use Mixpanel analytics to understand how visitors use the site. Analytics are switched off until you accept them, so nothing is tracked before that, and you can change your mind at any time through your browser settings.

6. Data Sharing

We do not sell your personal data. We share it only with the service providers we need to run the business, each bound by a data processing agreement:

• EPoS Technologies: ordering & till system
• Stripe: card payments
• Supabase: our database & accounts
• Klaviyo: order confirmations & gift card emails
• Mixpanel: product analytics
• Sentry: crash & error reporting
• Google Firebase: push notifications

Some of these providers are based outside the UK. Where your data is transferred abroad it is protected by the safeguards UK data protection law requires, such as the UK International Data Transfer Addendum or an adequacy decision.

7. Data Retention

We retain your personal data only as long as necessary for the purposes it was collected, or as required by law. You can delete your account yourself in the app, under Profile, and you can also ask us to delete your data by contacting us.

If you delete your account while you still hold a gift card or wallet balance, contact us first, because we cannot return a balance to an account that no longer exists.

8. Run Club

If you take part in Run Club through our app, other people who run with us can see your first name, the initial of your surname & your run streak on a leaderboard in the app. Only signed-in members who have completed a run can see the leaderboard at all. We deliberately do not show your full name, your email address, or which runs you attended.

We do this on the basis of our legitimate interest in running a community that motivates its members. You can object at any time. Ask us to remove you from the leaderboard & we will, without affecting your ability to take part in runs, earn berries, or use anything else in the app. You can do this in the app, or just email us & we will do it for you.

Your profile photo

You can add a photo to your Run Club profile. This is entirely optional & nothing changes if you never add one.

If you do add one, it is shown next to your name on the leaderboard, where other Açai Club members can see it. It is only ever shown inside the app: we do not publish it on this website or anywhere else on the internet. We ask you to confirm you are 16 or over before you add a photo. At the moment we show it to a narrower group than this: only members you have actually run with. We may widen it to all members without asking you again, but we would never put it outside the app without giving you a fresh notice first.

We show your photo on the basis of your consent, which you give by adding it after reading that notice. You can withdraw that consent at any time by hiding or deleting the photo in the app, & it stops being shown straight away. Withdrawing does not affect anything else about your account.

Members can report a profile photo, & we remove anything that breaks our rules. Those rules are in our Terms & Conditions. If we remove your photo we will email you & you can reply to appeal.

How long we keep it

If you hide your photo, we stop showing it immediately but keep it on your account so you can put it back. If you delete it, we remove it within 30 days. If you close your account, we delete your photo & your Run Club profile within 30 days. Your run history is kept for as long as you have an account, because it is what your streak & your berries are calculated from.
